Billing Self-service

This post explains how Rehabit subscriptions work, how to upgrade your practice, manage your user licenses, and cancel your subscription.

Important changes coming up

We planned the billing self-service feature a few months ago, but we pushed it up in favor of new features. We’ve handled user licenses manually until now (July 2023) and it’s a lot of admin. If someone created a practice and upgraded to a Professional subscription, there was no automated mechanism for adjusting their subscription when they invited additional users.

With the new self-service feature, practice owners will be able to purchase or remove user licenses, and allocate them to practitioners. When a practitioner joins your practice, they will be on the Starter tier until you’ve allocated a license to them. They can try Rehabit out and get the hang of it, and once they’re up and running you can purchase an additional license and allocate it to them. If a practitioner leaves, you can revoke their license and adjust your subscription plan.

Note

Only the practice owner can view and manage billing information, manage user licenses, and cancel the practice subscription.

14-Day Free Trial

When you sign up on Rehabit and create a practice, you automatically get a 14-day free trial. This puts you on the Professional tier and gives you some time to take Rehabit for a spin and see if it works for you. Once the trial expires, your practice will revert to the Starter tier (free but quite limited). You can upgrade to the Professional tier at any time during or after your free trial.

Upgrading to Professional

Rehabit is a monthly credit card subscription, like Netflix. The practice is billed, and not the individual users. The practice pays per user license, so a practice with one user license will be billed R250/month, and with two user licenses will be billed R500/month, and so on.

To upgrade your practice to Professional, go to the billing page. Select the Professional plan. You’ll see a summary of the selected plan with the amount of user licenses and the cost. Click on the checkout button. You’ll be redirected to a PayFast page. They’re the payment gateway that handles our billing. Once you’ve completed the purchase, you’ll be redirected back to Rehabit where you’ll see a page confirming that your subscription is active. The next step is to assign your user licenses.

Managing User Licenses

Once your subscription is active, you’ll need to assign the licenses you’ve purchased to your practitioners. To assign user licenses, go to the billing page and click on the Manage User Licenses button. You’ll see a list of all the users in your practice. Click on a user to allocate a license to them. If they already have one allocated, you can click on them again to revoke their license. If they have a license, they will be on the Professional tier, otherwise they will be on the Starter tier.

If you need to add or remove user licenses from your practice subscription, go to the billing page and click on the Manage User Licenses button. Then click on the Purchase/Remove Licenses button. You can then adjust your plan by using the +/- buttons to increase or decrease the amount of licenses you need. Finally, click on the Update Subscription button to update your plan. The new billing amount will come into effect from your next billing date.

Note

If you need more than 20 user licenses, please contact us. We’ve placed this limitation there so that no once accidentally purchases a huge volume of licenses. We’d also like to be more involved with larger practices.

Cancelling your subscription

We are confident that Rehabit adds more value to your practice than what it costs you each month. If it doesn’t, then you can cancel your subscription at any time. There are no strings attached to cancelling. There’s an option to give feedback when you cancel, and if it was because of our product then we’d really appreciate if you let us know what was lacking.

To cancel your subscription, go to the billing page and click on the Cancel Subscription button. Once again, click on the red Cancel Subscription button, and then confirm. You’re subscription will remain active until your next billing date.
